In line with the General Data Protection Regulation (GDPR) we have produced this privacy notice to inform you how we deal with personal information that you provide to us. theGKexperience delivers a youth work service and to do this we need to collect personal information about our volunteers so that we can keep them safe and communicate effectively.
Using your personal information
theGKexperience is a “controller” of the personal information you provide to us.
Information we collect from you about you
When you complete a consent form to volunteer in our services and activities, we ask for the following information:
Your contact details (name, address, phone, email address) and your date of birth
emergency contact information e.g your next of kin
information about your medical conditions, dietary needs and allergy information, additional support needs
Consent to use images and videos taken during activities
We require this information to ensure that children and young people are supported, and that we take account of their and your health and wellbeing. We will also ask you to update this information annually and to tell us when there are changes to your details.
Equality & Diversity
theGKexperience wants to meet our aims and commitments to equality and diversity. Therefore we also ask you to fill out an Equality and Diversity monitoring form. This information will ensure that we do not discriminate under the Equality Act 2010 and also provides us with an accurate understanding of the make-up of the volunteers that work with us.
Information that we collect from other sources
In order to safeguard the young people we work with, we will request a PVG for you.
Why do we need this information?
We need this information so theGKexperience can ensure it is delivering youth work services safely and effectively:
to keep children and young people safe whilst accessing our services
to identify any support needs to allow you to volunteer and for your safety and well being whilst volunteering
to maintain records of attendance at groups, activities and residentials
to help us develop and improve our services provided to young people and/or families
we will also use your information to create statistical reports.
We will share your information with:
The information you provide to us will be treated as confidential. We may disclose your information to other third parties, including statutory organisations, such as the NHS, the Police, Local authority and Social work services for the following purposes:
when an activity or residential accommodation is provided by a third party
In the event of an emergency
child protection concerns we become aware of
Unless required to do so we won’t share, sell or distribute any of the information you provide to us without your consent.
We will keep your information secure
We take steps to ensure that your personal information is kept safe and secure. All our electronic systems are password protected and all paper copies are stored securely.
We won’t keep your information any longer than necessary

You have the right at any time to:
Ask for a copy of all personal information we hold about you
Request we correct any inaccuracies in your personal information
Request us to delete your personal information
Object to receiving any marketing communications from us.
